About the Role

The Veterinary Receptionist is responsible for the daily reception of patients, clients, and visitors. They will greet all guests and clients in a friendly and professional manner.

Job Responsibilities

  • Maintain and uphold the mission statement of AlterClinic Animal Care.

  • Knowledge and ability to admit and discharge patients, including delivering post-operative instructions in a competent and friendly manner.

  • Provide exceptional customer service including, but not limited to, greeting clients, answering questions, processing patients and their medical records, and handling payments.

  • Know basic veterinary medical concepts.

  • Communicate in an effective and professional manner to clients, coworkers, and supervisors.

  • Follow all written and verbally communicated clinic standard operating procedures.

  • Schedule all appointments efficiently, while being polite and professional.

  • Answer phone calls, which may involve answering questions and screening and scheduling appointments while efficiently navigating a multi-line phone system.

  • Able to triage client questions and direct them towards the proper solution.

  • Able to multitask while maintaining a friendly attitude and confidence to deal with stressful situations.

  • Be familiar with the practice website, to guide clients and enquirers through to relevant sections.

  • Complete all paper forms accurately and fully following proper procedures and protocols.

  • Assist clients in completing appropriate patient forms.

  • Ensure prompt and accurate paperwork procedures are followed each day.

  • Confidently and correctly recommend appropriate services to clients for their pets.

  • Handle incoming and outgoing email.

  • Correctly process cash and credit card payments, including CareCredit payments, with the occasional check payment.

  • Prepare necessary paperwork for next-day clinic operations.

  • Deal with client complaints with empathy, patience, and understanding. Escalate client complaints to the appropriate person where necessary.

  • Communicate and work cohesively and professionally with all other departments.

  • Able to correctly read and interpret veterinary medical records.

  • Able to work shifts as assigned.

  • Maintain general cleanliness of the lobby and front desk space.

  • Remain Health & Safety conscious and actively involved in maintaining a safe work environment.

  • Comply with policies, procedures and code of ethics.

  • Perform any and all other tasks which are assigned by management.

  • Uphold the highest standards of internal and external customer service at all times.

Job Requirements

  • We are open Monday - Friday from 7:30 am-5pm and Saturdays 9am - 3pm. Must be able to work scheduled shifts as assigned.

  • Must have excellent customer service skills.

  • Must be able to multitask in a fast-paced environment.

  • Must be able to work with minimal supervision.

  • Must be able to learn basic veterinary medical concepts, including but not limited to, vaccine protocols and anesthetic risks.

  • Must be able to communicate with the public daily in a professional manner.
