AlterClinic Animal Care will be closed Friday August 30th to provide our staff with a much-deserved mental health day. Due to this, we will not be accepting TNR cats after 12:00PM. It is recommended to call ahead of time if you do plan on dropping cats off for TNR on Thursday.

About the Role
We are seeking a dedicated Clinic Coordinator to join our veterinary practice. The Clinic Coordinator will play a crucial role in ensuring the smooth operation of the clinic by coordinating transport calendars and appointments, completing and managing patient records, being a point of contact for Volume Clients, and more. Attention to detail is a must for this position.
This position is full-time only, Monday-Friday with a typical schedule of 9:30am to 4:30pm. The start and end times will vary on days that a transport is scheduled.
Job Responsibilities
Maintain and uphold the mission statement of AlterClinic Animal Care
Knowledge and ability to admit and discharge patients, including delivering post-operative instructions in a competent and friendly manner.
Provide exceptional customer service including, but not limited to, greeting clients, answering questions, processing patients and their medical records, and handling payments.
Know basic veterinary medical concepts.
Communicate in an effective and professional manner to clients, coworkers, and supervisors.
Follow all written and verbally communicated clinic standard operating procedures.
Ensures complete and accurate records exist for all patients, including rabies certificates, medication labels, go-home paperwork, and medical records.
Maintains accounts receivables for owner and all volume clients.
Able to multitask while maintaining a friendly attitude and confidence to deal with stressful situations.
Be familiar with the practice website, to guide clients and enquirers through to relevant sections.
Complete all paper forms accurately and fully following proper procedures and protocols.
Plans, schedules, and coordinates various programs including, but not limited to, rescue/volume clients and transport.
Admits and discharges transport patients at their respective locations.
Ensure prompt and accurate paperwork procedures are followed each day.
Confidently and correctly recommend appropriate services to transport clients for their pets.
Maintains cleanliness of the clinic van: cleaning and sanitizing crates, trays, van floor, and other items as appropriate.
Creates new volume clients and ensures all volume clients remain in good standing with the clinic, following up as needed.
Maintains surgery schedule in an accurate manner and coordinates surgery schedule with doctors and other clinic staff.
Work cohesively and professionally with all other departments.
Able to correctly read and interpret veterinary medical records.
Answers clinic phones, returns messages, forwards messages to appropriate staff in a timely manner.
Accurately enters charges and takes payments including cash and credit card payments, including CareCredit payments, with the occasional check payment.
Able to work shifts as assigned.
Remain Health & Safety conscious and actively involved in maintaining a safe work environment.
Comply with policies, procedures and code of ethics.
Perform any and all other tasks which are assigned by management.
Uphold the highest standards of internal and external customer service at all times.
Job Requirements
Client Education
Must be able to learn basic veterinary medical concepts, including but not limited to, vaccine protocols and anesthetic risks.
Must also be able to communicate basic veterinary concepts to owners and be able to repeat information relayed by a veterinarian.
Will be asked to communicate with the public daily in a professional manner.
Physical Requirements
Must be able to work standing or sitting for 8 or more hours.
Must be able to lift and carry up to 50 pounds occasionally throughout the day with help.
Must be able to bend and kneel repeatedly.
Must be able to see fine detail in a variety of situations.
Animal HandlingÂ
Will be asked to safely handle varying amounts of dogs and cats on transport clinic days.
Must be able to learn characteristics of animal behavior (for example, be able to identify aggressive or fearful behavior).
Must possess excellent reflexes.
Should be able to identify your own limitations and be willing to ask for help.
Must become proficient at animal restraint for exams and premedication.
Technical Requirements
Technical proficiency PC platforms, as well as Microsoft Office.
Knowledge of ClinicHQ is a plus.
Must be able to answer and respond on phone lines and emails.
